JOB PURPOSE:

This position is responsible for providing administrative support to the SVP, Sustainability Research & Policy, the VP, Sustainability Research and Director, Shareholder Advocacy, and members of the Sustainability Research Department. This position coordinates the administrative aspects of department projects, events and daily operations.

ESSENTIAL RESPONSIBILITIES AND JOB RESULTS:

• Serves as primary Administrative support to SVP, including schedule management, meeting preparation and management, travel and conference arrangements
• Responsible for assisting with research projects, including drafting PowerPoint presentations and written documents
• Handles all administrative work for Sustainability Research Department
• Manages information flow, files and processed, including creating/proofing, routing or mailing, and storing (electronically or in hard copy) documents, memos and other correspondence
• Shares duties for portfolio compliance checking with Database Manager and assists Database Manager with upkeep and maintenance of Sustainability Research Database on a regular basis. Acts as a backup to Database Manager
• Handles all travel, meetings, and conference arrangements for the department – includes travel and accommodation arrangements, event planning and execution
• Monitors the budget for the department, maintains and monitors expenditures
• Processes purchase orders and check requests
• Performs general administrative functions such as collecting and distributing mail, copying, faxing, vendor communication, timesheet collection, and ordering office supplies
• Handles all administrative functions for temporary and intern staff, including scheduling and time sheet management
• Oversees the maintenance of the department research library
• Responsible for assisting with written research projects, including but not limited to drafting PowerPoint presentations; researching and compiling board meeting prep materials; writing, compiling, editing and publishing monthly internal department activity reports; researching and summarizing relevant issues for institutional knowledge base
• Responsible for assisting with database research projects, including but not limited to researching relevant statistics to populate the database and conducting canned company research
• Lends administrative support on special projects assigned to sustainability research staff

SKILLS, KNOWLEDGE, EXPERIENCE REQUIRED TO PERFORM JOB:

• At least two years of administrative and/or professional experience
• Bachelor’s degree required
• Strong interest in research, corporate social responsibility and/or sustainability preferred
• Excellent organizational skills, with strong oral and written communication skills
• Ability to work independently as well as part of a team
• Ability to prioritize and work efficiently in a high-pressure environment
• Ability to follow oral and written instructions
• Ability to handle confidential/sensitive matters using judgment and discretion
• Excellent word-processing and office software skills, including familiarity with Microsoft Word, Excel, PowerPoint, and Access
• Knowledge of use of Bloomberg a plus
